Job Description
As a Legal Assistant (Real Estate) of the Firm the main duties forming part of your job shall be to perform the following subject to the direction and policies of the Firm (or such person as the Firm may designate from time to time):
a. Open and maintain client files of those who have retained the Firm for their respective conveyancing matter (property transactions) to ensure that all relevant documents are in order in preparation for the closing of the transaction;
b. Ensure that all documentation is kept secure and confidential within the firm’s database;
c. Correspond with various sources such as clients, realtors, financial institutions, strata management companies, mortgage brokers, and administrators from various municipalities to request documents such as contracts, mortgage instructions, strata forms, as well as tax and utility information;
d. Review and proofread all the conveyancing documents collected to ensure that the specific details of the transaction including the legal description of the property, the parties involved, price, the subjects or conditions, as well as lender instructions are consistent and thorough;
e. Conduct the necessary due diligence when assisting with a particular property transaction. A few of which include ordering and reviewing the title search to make note of any mortgages, liens, judgements, or certificate of pending litigation. The tax certificate is also assessed to confirm that there are no outstanding tax payments and strata information is also examined for any special assessments, penalties, or move in and move out fees that both parties pertaining to the transaction must be made aware of;
f. Correspond with the buyer's legal representative when working on sale files to make certain that all items are accounted for on the seller's statement of adjustments and ensure that the undertakings, they expect the solicitor of the Firm whom you are assisting with to commit to, are within the scope of their professional expertise.
g. Prepare conveyancing documents with the use of the Firm’s conveyancing software and ensure that they are in good order before they are signed by the Firm’s clients;
h. Communicate with the Firm’s clients professionally via email and phone call to address any queries or doubts that they may potentially have about the conveyancing process or real estate law;
i. Complete client intake forms for new prospective clients of the Firm, who may need assistance with a legal matter. Actively listen and note down all the information provided by the prospective client. Once the new client intake process is completed, the information is reviewed and deferred to the respective lawyers of the Firm to confirm if this is in fact a case they are interested in acquiring;
j. Perform general administrative duties such as prepare invoices, retainer agreements, and provide quality customer service to clients who attend the Firm’s office in person;
k. Review and distribute incoming mail to ensure that senior lawyers and partners of the Form obtain relevant legal documents in time to proceed work on a particular client file matter;
l. Establish important office procedures such as effectively managing the office calendar system to ensure that they reflect any important upcoming real estate transaction closings, meetings with clients, hearings, and trials, etc.;
m. Train and supervise fellow staff of the Firm with the use of current legal software such as TimeCamp, PCLaw, and ProSuite.
