Reporting to the Senior Manager, International Support Team (IST), the Program Associate functions as the administrator, responsible for processing administrative services, fund transfers, travel preparations, editing and formatting of documents, and other day-to-day tasks to support the International Cooperation and Program (ICP) team.
In this role, you will:
Responsibility 1: Administrative Support to the International Cooperation and Program (ICP) team
Maintains an effective filing system, preparation, screening, editing, and revision of correspondence.
Monitors approval procedures including tracking documents for approvals, obtaining signatures on decision papers and terms of reference and keeps management updated.
Assists, and coordinates with People Services department on briefing and debriefing schedules of staff/delegates, in conjunction with relevant Program Coordinators.
Provides assistance with team travel including visa processing and submission.
Provides logistics support for project conferences/meetings and maintains team calendars.
Prepares and compiles materials for meetings; attends meetings, takes minutes, and prepares action sheets to track items delegated.
Responsibility 2: Project Financial Administration
Prepares and processes all wire transfer documents (expense claims, invoices, contribution agreements, consultancy agreements).
Supports timely processing and payment of delegate and program related expenses.
Responsibility 3: Support to Program/Project Development and Management
In conjunction with the Program Coordinators/Program Managers, proofreads and formats narrative material including project proposals, reports, briefing packages, terms of reference for project personnel and consultants, and Memoranda of Understanding (MoUs) with project partners.
Supports project coordination by ensuring deadlines and processes identified in coordination meetings or communications are followed and sends gentle reminders to the team.
Ensures processes adhere to approved policies and guidelines.
Supports Program Coordinators and Program Managers on reporting deadlines.
Supports in creating Purchase Requisitions (PRs) and Results Base Management (RBM) data entry in AX
Documents the admin processes used by ICP team and contributes to improved efficiency.
Responsibility 4: Supports an effective team
Collaborates to fulfill the agreed objectives, needs and expectations.
Ensures sharing and dissemination of relevant materials to all concerned actors.
Provides back-up to colleagues, as required and mentors colleagues on sourcing processes and systems.
Integrates volunteer resources within the scope of responsibilities, as required.
Participates in disaster planning, preparation and response, as required.
What we are looking for:
Possess 2 to 3 years of experience in project or program administration, preferably in a humanitarian field.
Bachelor’s degree in administration or an equivalent combination of education and experience in a project administration role.
Fluency in English is required; knowledge of another language (French, Spanish, Arabic or Hindi) is an important asset.
Advanced MS Office competencies (Word, Excel, PowerPoint); experience with SharePoint and Dynamics AX are strong assets.
Strong organizational skills, with proven strengths in administration and financial management.
Ability to work in a fast-paced environment with minimal supervision.
Working conditions:
Flexibility to work non-traditional hours on short notice is required.
This is a remote position requiring access to a reliable internet connection, a laptop/computer and a telephone.
Requires a successful completion of a Canadian criminal record check.
